Once a date and time has been given for an experience, this is saved into our booking system. Until a deposit (only applicable more than 6 weeks before session, otherwise full payment is due) is given for your experience, the booking is only provisional and cannot be guaranteed until this has been received. Deposits must be sent within 7 days or the booking is no longer secure. After 21 days, bookings will be removed from our system. Offers on deposits or the package itself are only valid for 7 days from which the quote was given, extending this period is at the complete discretion of management.
We will need to receive 25% of the full payment to secure bookings made more than 6 weeks in advance. This is non-refundable if the experience is cancelled at any time.
The remainder of the payment must be paid on the invoice due date, usually 6 weeks prior to the experience date. Failure to do so will result in a late fee applied. If the full the payment is still not received 4 weeks before the date of the session, the booking will become ‘provisional’. At this point we can no longer guarantee your session time/date. Failure to pay within 14 days of the session time/date will result in the booking being cancelled and loss of any deposits paid. There will be an admin charge of £20 to reinstate the booking (depending on the availability of the preferred date).
As long as the change is made aware to CoverStar more than 28 days before the original session date, customers may request to change the date or time of the experience without any fees and subject to availability. If customers wish to change the date or time of the session within 28 days of the original session date there will be an admin fee of £2 per guest (min. £20) – subject to availability.
Any offers or discounts given at the time of booking are only valid for the value of the original quote – changes may effect the original quote and CoverStar may reserve the right to withdraw offers based on certain changes made to the booking.
Change of date or time for your session can only be changed once within the given period.
For group bookings, customers may be entitled to a refund for guest numbers no longer attending— please see below.
We understand that guest numbers may decrease in the months leading up to your experience. We offer to refund up to 5 guests (only applies if your guest numbers will be at least 10 or more overall, after the change). The refund only applies if the customer requests the refund more than 28 days before your session date. If you have received a discount on your booking for guests numbers of 17 or above, you will continue to receive your discount as long as the guest numbers remain above the threshold. Any offers or discounts given at the time of booking are only valid for the value of the original quote. If you wish to decrease guest numbers, the offer or discount given on your specific package may no longer be valid if a refund is requested.
If you wish to completely cancel your booking with us, we will refund any monies paid minus the original deposit or 25% of the total booking (whichever is greater). This only applies if the refund is requested more than 6 weeks before the session date.
No refunds are offered within 28 days of the booking unless under exceptional circumstances.
The same applies with any extras purchased.
Extra CD’s and DVD’s can be purchased on the day of your experience. We will endeavour to burn standard copies of CDs on the day of your experience and have them ready for you before you leave the city centre, however for CDs numbers more than 8, we may need to post them to one chosen address free of charge. Please contact us for more information if you are concerned.
DVDs in any circumstance take at least 10 working days to complete. Once edited, they will be posted First Class free of charge. If you wish to have your DVD earlier, please contact us before your session to arrange a fast track editing and delivery service to guarantee before a specific date. Please note that the editing is a creative process by our experience editor – if you require anything specific in your final video edit, please contact us immediately after the session so we can discuss the possibility with our editor. More complex editing or additional footage required may incur an additional charge.
The following extras MUST be purchased before your experience:
Mixes are subject to a creative and professional opinion from our trained industry engineers. In order to deliver the customer a fully mixed version of the song on the day, our engineers will do their upmost to deliver finish a complete mix in around 20 minutes. Due to this we can’t promise the mixes will be perfect, however our professional engineers will always endeavour to do their upmost to create the best mix. If tracks are slightly more complicated, we may ask for the customer patience through this process and ask that wecan either send the CD on or that they collect later at a convenient time – this is due to the fact we wouldn’t like the customer to take home an unsatisfactory version of the track (we will do this for no additional charge). If the customer would like a more professional, detailed mix, we can offer this advanced service for £90 extra per track. This will then insure that the track is carefully edited and given the best possible time period to be fully mixed. Please note that during sessions we have a limited amount of time to record, this means that we may not be able to get the ‘perfect’ take – we can only mix what we have recorded and cannot manipulate vocals to change pitch and timings that are impossible to rectify. Our services are mainly experience based so if you require a more professional audio service, we recommend contacting our partner studio, Seven Suite.
We will need to receive this 7 days before your booking. Failure to do so will result in choosing from a limited choice on the day and no personalised CD. We will post the CD out to you 5 days after the session for a small postage fee of £1.99.
Vouchers must be used within the date stated on the supplied letter. This is usually 3 months from the date that the voucher was purchased. Vouchers purchased as a Christmas gift can be purchased from October and are valid from the 25th December to the 24th March of the following year. Vouchers may be extended beyond the 3 month period as long as the customer extends the voucher before the expiry date – the cost for this service is £10 for a 3 month extension up to a maximum of 12 months. Failure to extend the voucher before it’s expiry date will invalidate the voucher.
By placing a booking with CoverStar Experiences, our customer is fully aware that the experience takes place in a professional multi-use recording studio, which is managed on our behalf by responsible party, Seven Suite CIC. As a company, we make sure extensive precaution has been made to eliminate potential health and safety issues prior to any experience. Seven Suite CIC and it’s relevant person are responsible for the safety of our customers during experiences. A Certificate of Public Liability owed by Seven Suite CIC can be viewed within the premises.
